MateX ("we", "our", "us") is a meeting recording and transcription platform. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

We collect information you provide directly and information generated through your use of MateX:

  • Account information — name, email address, and authentication credentials (including OAuth tokens if you sign in with Google or GitHub).
  • Meeting recordings — audio recordings captured by our bot when it joins your meetings on supported platforms (Google Meet, Zoom, Microsoft Teams, Webex, GoTo Meeting).
  • Transcripts — real-time and asynchronous transcripts generated from your meeting audio.
  • AI-generated content — summaries, action items, and chat messages generated by our AI features.
  • Notes — rich-text notes you create, including any linked meeting timestamps.
  • Calendar data — event titles, times, and meeting links synced from your Google Calendar when you connect it.

3. How We Use Your Information

  • To provide the core service: joining meetings, recording audio, and generating transcripts.
  • To power AI features: generating meeting summaries, answering questions about your meetings, and providing intelligent search via semantic embeddings.
  • To sync your calendar events and schedule recording bots for upcoming meetings.
  • To manage your account, authenticate sessions, and maintain security.

4. Third-Party Services

We use the following third-party services to operate MateX:

  • Recall.ai — meeting bot infrastructure for joining calls and capturing audio.
  • Google Calendar API — calendar event synchronization (when you connect your calendar).
  • DeepSeek — AI model used for generating summaries and powering the Ask AI chat.
  • Upstash — vector database for semantic search and caching infrastructure.

These services process data solely to provide functionality within MateX and are bound by their own privacy policies.

5. Data Retention & Deletion

Your data is retained as long as your account is active. You can delete individual meetings (which removes the recording, transcript, AI chat history, and associated vector data) at any time. Deleting your account removes all of your data from our systems.

6. Cookies & Sessions

MateX uses session cookies for authentication purposes. We do not use third-party tracking cookies or advertising pixels. Session data is managed securely and you can view and revoke active sessions from your Account Settings.

7. Security

We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS), secure authentication, and access controls. However, no method of electronic transmission or storage is 100% secure.

8. Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Delete your data by removing individual meetings or deleting your account entirely.
  • Disconnect third-party integrations (Google Calendar) at any time.
  • Revoke OAuth connections (Google, GitHub) from your Account Settings.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting a notice on our website. Continued use of MateX after changes constitutes acceptance of the updated policy.
